Office Manager.

Leading all non legal functions in a successful 5 partner firm specialising in corporate and commercial, employment, IP and litigation.

Responsibilities include:

  • Financial management including liaising with our off site accounts and cashiers departments, ensuring compliance with SRA standards and collating information and liaising with the auditors.
  • Management of the office cash flow and expense claims.
  • Management of time management recording including distributing fee earner's billing targets to the partners and weekly sending out of matter balance reports.

You may be asked to invoice clients, send out terms of engagement letters and time updates.

  • Monitoring and controlling debtors including payments on account.
  • SRA - firm practising certificate renewal.
  • Relationship and contract management with all office service providers including insurance brokers for professional indemnity, office and buildings insurances
  • Overseeing business development and marketing activities including website oversight, increased social media presence and arranging events.
  • Instigating and developing marketing and awareness opportunities.
  • Responsible for all compliance activities. Ensuring the office manual is up to date and deliver training to staff.
  • Day to day management of junior staff to help run the general office including recruitment, training and any personnel matter. Obtaining practising certificates for fee earning staff.
  • Managing archiving, incoming/outgoing post and managing clients where we act as the registered office.
  • Staff inductions all levels, HR records and annual appraisals. Dealing with holiday requests, sickness and diary management.
  • Manage off-site IT services supplier to ensure all systems and hardware including accounts and case management system (P4W and netdocs) are supported, up to date and any issues are promptly resolved. Project management of IT projects. Management of the remote IT team and ensured continuous improvement and optimum system performance.
  • Responsible for ongoing monitoring and relationship management of building facilities including maintenance, photocopying and printing, stationery suppliers, cleaning services and archives / record keeping.
  • Organising occasional staff nights and office supplies such as tea and coffee.
  • Identifying and implementing improvements in facilities and the office environment including upgrading equipment and negotiating better contracts.
