The Role

This role is for a Legal Secretary to primarily support one of the Partners within the Employment Team. Alongside this, they will also be available to provide additional secretarial and administrative support to the other members of the Employment, Regulation and Dispute Team when the need arises.

 The role will report to the Senior Legal Secretary and will work alongside the teams Legal Secretaries, providing support within both the Bath office and the firms other locations.


Key Responsibilities

  • Managing the Partner’s diary.
  • Booking and managing any internal and external meetings, liaising with both clients and colleagues.
  • Ensuring the Partner and the Senior Legal Secretary are aware upcoming work/issues; pre-empting any potential issues
  • Ensuring that Court dates are correctly placed in fee earners’ diaries.
  • Arranging meetings, travel arrangements and internal training (booking room/IT equipment/printing necessary materials).
  • Understanding and awareness of the Partner’s current and future diary commitments and ongoing matters
  •        Processing and managing Partner’s expenses, liaising with the Accounts team where necessary
  • Processing billing documents for the end of the month and liaising with the Accounts team where necessary;
  • Tracking of tasks/commitments requested by colleagues
  • Dealing with clients and agents as and when required both verbally and in person;
  • Dealing with incoming and outgoing mail, ensuring dates, addresses and enclosures are correct.
  • Undertaking any additional administrative tasks as reasonably required by the Team.
  • Assist fee earners in London office as required, being pro-active about helping with file management/bundles etc.
  • Attend team meetings, produce minutes/printing docs for team for meetings and make constructive contributions to meetings.
  • Attend team seminars (external and internal) when required.
  • Filing – both electronically (opening and closing of files) and physical filing, having a robust system in place for this task.
  • General file management;
  • Preparing post, arranging couriers and dealing with any faxing requests;
  • General document production including printing, photocopying, binding, scanning documents.
  • Typing, formatting and processing of documents.
  • Typing and preparing applications to the court including checking and collating               attachments and enclosures.
  • Typing and preparing Witness Statements including checking and correctly collating exhibits thereto.
  • Typing and preparing Trial Bundles including correctly paginating and copying.
  • Preparation of instructions to Counsel, including checking and correctly collating enclosures.
  • Cost management - producing reports re-estimates and updating the fee earner, including monitoring fee earners actual time against budget where fixed fee agreed.
  • Assisting the other Secretaries in the ERD department as and when required.

The above tasks are those that will be required on a day-to-day/weekly/monthly basis but there will also be additional administrative tasks required as and when.


     Required skills


·        Previous experience of working as a PA is essential.

·         Strong multi-tasking and organisational skills.

·         Good time management skills.

·         High attention to detail.

·         Experience of diary management.

·         Experience of making and managing travel arrangements.

·         Strong inter-personal skills when dealing with the partner, the firm’s clients and work colleagues alike.

·         Good communication skills not only in person but also in writing.

·         Strong telephone skills, both answering and transferring calls where necessary and passing on messages in a detailed and professional manner.

·         Good IT skills; proficient at Mattersphere/Word/Excel/PowerPoint (including producing presentations) and at using other IT equipment such as scanner/copier.

·         Accurate and efficient audio and copy typing skills.

·         Accurate grammar and spelling, both written and spoken.

·         Ownership of tasks through to completion.

·         The ability to use initiative and display a can-do attitude to solving problems.

·         Administrative capacity and the ability to contribute to improving working practices.



The candidate must be discreet when dealing with the Firm’s confidential affairs.


Additional Requirements

Personal qualities are important.  The candidate is expected to work as part of a team with other members of the Team. Having a positive can-do attitude along with the ability to focus and remain composed in times of increased pressure are important.

You will be supervised on a day-to-day basis by the Senior Legal Secretary.
