Legal Secretary with Employment Law experience required for Manchester office.
JOB PURPOSE
To provide a full secretarial service to the relevant fee-earners within the Employment department and further to ensure the maintenance of the Unit's filing system so that documents are up to date and can be easily retrieved.
Each secretary will report to and support the work of a number of fee-earners. In addition they must ensure that the co-ordinator is aware of holiday and other leave so that cover can be provided.
PRINCIPAL ACCOUNTABILITIES
Full secretarial cover for a specified one Partner and 3 fee-earner(s) ensuring that work is prioritised and dealt with as appropriate. Additional cover for other fee-earners as required when their secretaries are absent.
To ensure the effective management of the fee-earners' diaries, travel arrangements.
Dealing with incoming client calls ensuring that the fee-earner is aware of all messages and that the client is left with a positive and professional image of the firm.
Storage of all documents (manual and computerised) in such a way that other secretaries and fee-earners can access them at all times.
To ensure that billing is up-to-date
SCOPE OF THE ROLE
The job holder will spend 80% of their time providing a secretarial service to the fee-earner(s). In doing this the job holder will be required to work without supervision. The majority of their work will be audio typing documents (85%) consisting of client correspondence, Tribunal documentation and file notes. The onus is on the secretary to spell check work and proof read documents before re-presenting them to the relevant fee-earner for signature. Administration duties (15%) include liaising with the Tribunal courts, arranging client meetings and taking very detailed telephone messages.
Diary management is a key element of the role and in carrying out this duty the secretary will often have to liaise with the client's secretary or even the client direct. Appropriate follow-up arrangements to make sure the fee-earner can attend the meeting, are also important.
A good team worker is essential. The job holder will be required to provide cover for other secretaries when they are out of the office. Similarly they should organise cover in such a way the other secretaries can cover for them when they are out of the office.
The job holder will be the main point of contact for enquiries relating to the fee-earners who they support.
Should other departments require assistance secretaries are expected to offer support wherever possible.
PERSON SPECIFICATION
Excellent communication and telephone skills
Good interpersonal skills and the ability to work in a team environment.
The ability to work without supervision and a self-starter.
TECHNICAL SKILLS/QUALIFICATIONS
Preferably an experienced legal secretary who has been used to offering a PA service.
Excellent keyboard skills (minimum of 65 wpm audio)
GCSE's in Maths and English or equivalent
