Our client is a leading regional law practice in the South East. Based in Tunbridge Wells the firm currently have 41 partners and employ over 250 people. Although we have an office in London all staff are located in Tunbridge Wells. They are highly ranked in the legal directories for providing clients with the highest quality of legal services for both commercial and private clients.
The firm are currently seeking to recruit an experienced and professional Legal Secretary to join their Property Dispute Resolution team.
Responsibilities:
· Taking audio and manuscript work, typing back correspondence, making amendments where necessary and setting out work to a highly professional standard
· Using precedents efficiently, being able to retrieve relevant documents from the word processing system
· Keeping an effective filing system, being able to retrieve requested files and documents with minimum delay
· Running a diary system, flagging documents for review in a timely fashion
· Ensuring smooth running of diary management, taking a pro-active role in entering all court hearings and document deadlines
· Handling incoming telephone calls in an efficient and courteous manner, dealing with queries where possible and passing them on in a timely fashion as appropriate
· Making necessary travel arrangements, ensuring best utilisation of time
· Co-ordinating arrangements for visitors, including room reservations and refreshments as necessary
· Acting as a focal point for queries regarding day to day office procedures of the Practice area, including authorisation procedures, document layout and other general office standards
Essential Skills & Experience:
· Experience within a legal environment
· Experience to match the requirements of the particular position
· Accustomed to dealing with clients, partners, fee earners and other service staff at all levels in person and on the telephone as appropriate to the level of the post
· Accustomed to delivering work to deadlines
· Accustomed to working without close supervision
· Ability to demonstrate confidentiality and integrity
· Solid competence and accuracy in producing audio typed work - 70 wpm typing
· Good secretarial training and qualifications equivalent to a minimum of RSA Stage II
· A general standard of education appropriate for the post, minimum of "GCSE" in Maths and English or equivalent
· Varied and advanced experience of WP and other IT systems
· Technical skills to meet the practice’s standards and appropriate to post
· Excellent communication and interpersonal skills
· Methodical, accurate and well organised systems of working
· Flexible, energetic, organised and accustomed to meeting tight deadlines.
· Team player
· IT competence – ability to generate own correspondence as appropriate to the post
· The highest level of client care and awareness
· Experience of managing / working in a small team
· Prepared to work on own but in co-operation with team members and carry out whatever duties are required by the team
· Ability to work through periods of pressurised working
· Ability to juggle priorities
· Willingness to “go the extra mile”
