The department

Our team of business services staff play a significant role in the success of Dentons, and we recruit staff into a wide variety of areas. Here, we look for focused, flexible individuals from a variety of backgrounds who are team players. Previous experience within the legal sector is not essential. We want to give everyone the opportunity to develop his or her potential fully and, therefore, provide support, training and encouragement to members of staff at all levels.

Purpose of role

Responsible for effective management and production of all secretarial and administrative work related to fee-earners business development and client work.

Responsibilities

Key Tasks:

* Complete audio and copy typing for all necessary correspondence and documentation, accurately and using Dentons styles

* Open/close files as necessary. Keep an up-to-date record of current and closed files and to suitably file all correspondence, documentation accurately and on a regular basis

* In fee-earner absence, act as a point of contact for client and internal queries to progress matters, answering where appropriate or passing messages to the relevant fee-earner in a polite and accurate manner

* Support the fee-earners with administration tasks including WIP, outlay reviews and write offs, preparation of fee-notes, photocopying and PDFs

* Positively contribute to our team working ethos, particularly working closely with the other secretaries to ensure that all work is completed as required

* Ensure fee-earners’ diaries are kept up-to-date showing meetings, reminders etc

* Book boardrooms for meetings and arrange catering as required

* Make travel and/or accommodation arrangements for fee-earners as required

* Complete all necessary forms for internal/external use, e.g., Central Registry, Accounts department

* Carry out various tasks as instructed, i.e. answering simple correspondence; passing/telephoning messages; investigating book-keeping problems

* Liaise with clients and/or other departments over miscellaneous matters

* Update and maintain InterAction

* Any other adhoc duties as required

Required experience, skills and attributes

Core Skills and Knowledge:

* Previous experience working in the legal sector, preferably within a Property environment

* All filing, scanning and file administration

* Ordering Legal Reports, Property Enquiry Reports, Plans Reports

* Completing LBTT Returns

* Accurate typing skills (minimum 70 wpm), particularly audio typingAble to effectively communicate at all levels

* Excellent administration and organisational skills

* Professional telephone manner

* Proven ability to work on own initiative as well as part of a team

* Strong customer focus (internal and external)

* Proven adaptability to change and flexible can do approach

* Advanced knowledge of Microsoft Office packages (LawSoft, Document Management Systems and Digital Dictation desirable)

Language Capabilities

We are a truly global law firm and as such, always welcome hearing from those with foreign language capabilities. In light of our recent combination, Mandarin language fluency would be particularly advantageous given that China is now core to our strategy.
