Department: Commercial Property Location: Cardiff office

Reporting to: Head of Department

Pay Scale: Depending on experience

ROLE PURPOSE To provide a quality service to the Firm’s clients to meet the needs of the Commercial Property
department and help it achieve its financial and other targets

To self-manage as required so as to operate at optimum efficiency to ensure personal financial
and other targets are met

To build strong beneficial relationships with estate agents and other referrers of Commercial
Property work to the firm

SUCCESS MEASURES As set out in the current balanced scorecard documentation and your performance objectives
in relation to financial and other targets

Efficient running of Commercial Property cases using the Firm’s systems and adhering to the
Firm’s policies
MAIN DUTIES AND RESPONSIBILITIES

Leadership and Values To demonstrate the Firms values in dealings with clients and colleagues alike. Financial To handle money in accordance with accounts procedures.

To be aware of the firm’s financial objectives and targets and to support the firm in achieving
these. Business Growth To raise the firms profile by participating within the communities in which you live and work.

To build strong rapport with clients and referrer of work to ensure repeat instructions and also
explore new work streams and/or support the Department in this pursuit People Skills To establish and maintain effective working relationships with colleagues, supervisors and the
general public

To take responsibility for your own performance appraisal and development plan

To work efficiently to get the best out of the firm’s IT systems
To liaise with participate in staff teambuilding events and show willingness to assist other
teams during busy periods Client Focus To proactively think about client’s needs, making sure that our services easily accessible.
To arrange appointments and meetings with clients/referrers

To provide the clients with excellent standards of client care

To provide refreshments for clients as requested

To consider opportunities to cross sell services for the benefit of our clients e.g. Wills and LPAs

To attend clients both in person and on the telephone and to provide such support in a
professional and friendly manner in keeping with the firm’s Client Charter



Service Delivery To work with colleagues to prioritise and complete the most urgent client work before other
routine tasks

To prepare correspondence and documents through the departments case management
systems or as directed.

To draft routine letters and documents as requested.

To liaise with courts, barristers chambers, other solicitors and other bodies if required.

To prepare mail and enclosures for dispatch.

To carry out e-filing of documents, in a timely way

To complete office duties at the location as required

To comply with the requirements of third parties such as CQS, SRA and various Lenders Compliance and Risk To comply with all office systems and procedures as stated in the Office Manual.

To open, close, archive and retrieve client files in accordance with firm procedures

To maintain regular consistent and professional attendance, punctuality, personal appearance,
and adherence to relevant health & safety procedures.

To ensure the confidentiality of all the firm’s and client documentation and information.
REQUIRED SKILLS and EXPERIENCE Agricultural property experience

Practical Work Experience in the Legal Sector

Professionalism and courtesy with clients and colleagues

Self-management, problem solving and initiative

Flexibility

IT literacy including audio typing and a good working knowledge of Microsoft Word and
Outlook

Team work

Assertiveness

Ability to prioritise workloads and work within deadlines

Communication skills

Ability to work under pressure Desired Experience

Experience using Ochresoft Intelliworks or similar workflow management system

Experience using SOS Connect or a similar data management system

Academic Experience in the Legal Sector preferably in the field of Property Law

Welsh speaking
